Linked Custom Fields

Linked Custom Fields gives you the chance to have additional Custom Fields for your Contacts, meaning you can beyond the 100 Custom Field limit.  Technically, you could have up to 700 Custom Fields.

It works by using the Custom Fields that can be set up for the other sections of Infusionsoft, which are the following:

  • Company
  • Opportunity
  • Order
  • Referral Partner
  • Subscription
  • Task / Appointment / Note

A special record is setup in the section you want to use, and it is linked to the Contact Record.

Limitations / Recommendations

  • The additional custom fields should only be used for storage purposes, not for Email Communications, Campaign Builder, etc.
  • Do Not Mix and Match the Custom Fields that are designed for the other section.  You should use a Custom Field Section that is not being used.
  • The additional custom fields will NOT be accessible on the Contact API Table.  They will be accessible in the linked record API tables.
  • The additional custom fields will NOT appear in any of the Infusionsoft Contact Reports.
  • If you Merge Contact Records, you will have to reassign the Linked Records.
  • If you delete the Linked Record, it will lose the data for the Contact.
  • The Drilldown Custom Field Type is NOT available.  All other Custom Field Types are available.

Setting up the fields

To set up the fields you need to do the following:

  • In Infusionsoft, add a new Upper Tab for the Contact Record via the “Admin – Settings – Custom Fields“.
  • Go to the appropriate Custom Fields Section, and add in the Custom Fields you want to use.
  • In Xtendin Options, go to the “Infusionsoft – CRM – Contact Record – Custom Fields“.
  • Click on the “Enable Linked Custom Fields” option.
  • In the Table, enter the Upper Tab Name.
  • Select the item it is Linked To, which is the Custom Field Section.
  • The Linked Name can be left as default.  You can change this if you want to identify the Linked Contact Record differently.
  • Save the Options.
  • In Infusionsoft, go to a Contact Record.
  • In the new Tab, it should automatically populate the Custom Fields.
  • When you save the Contact Record, it will automatically create the Linked Record.
  • If you edit the Contact Record, it will automatically find the Linked Record, otherwise a new one will be generated.

Quick Search Results Fields

Infusionsoft does not allow new fields to be added into the Quick Search Results.  In this latest release of XtendIn, all of this has now changed.  You will be able to specify what Contact Record fields you would like to see in the results.

311-Resized@1x

The new option can be found in XtendIn Options “Infusionsoft – CRM – Quick Search” called “Results – Contact Fields“.

The Layout option will be set to Infusionsoft Default.  You will be able to chose between these layout options.

  • Append fields to original Layout
  • Custom Layout

To add an additional field, select the appropriate layout, then drag from the “Available Fields” column and drop to either the “Left Column” or “Right Column”.

Quick Search Results Options

Contacts – Tags Searching Alternative

In a previous release of Infusionsoft the Contacts – Search – Tag selection was changed so that you type the Tag name to search for it.  I understand why Infusionsoft done this, because in the past the page would load the Contact Tags, and if you had 1000s of Tags it would take time to load the page up.

But from what I see is that not everyone seems to be too happy with the new Tag selection.  So, in this release of XtendIn, you can now revert the Tag selection to an alternative way of doing things.  Not quite the same as the past, but it is an alternative.

By default, Infusionsoft current way of Tag Selection is shown.  The option can be found in “Infusionsoft – CRM – Contacts” called “Tags Layout Type“.  Just change it to “Tag Category / Tag Drop Downs” and save.  When viewing the Contacts page again, you will see the Tags selection change to show two additional drop down fields which are the Tag Category and Tag. You select the Tag Category first, then select the Tag you want to add, which will appear underneath.  To remove the Tag, just click on the “X”.

Contacts Search Tag Selection Alternative

Contacts – Search – Auto Tab Click

To reduce clicking in the Contact Search page, if you hover the mouse pointer over the Tab, it will automatically change.  This feature will be on by default.

To change its behaviour go to “Infusionsoft – CRM – Contacts“, then to the option called “Automatically Click on Tab When Mouse Pointer is Over It“.

File Preview – View Column

To quickly see the contents of a file in the File Box, a new “View” column is now added to the table.  Clicking on the View link will show the contents in the row below it.  It works similar to the Embed File Contents option, except that you manually can select the files you want to see.  When you click on the Link it will change the name to “Hide”, allowing you to hide the contents.

Note, non-supported file types will be shown a Blank box instead.

The View column will appear by default.  It is available in all the File Box tables.  The option is called “Show View Link“.

PDF Files Preview

PDF Files can now be viewed within the File Box.  By either hovering over the “Download” link, or by clicking on the new “View” link in the File Box table, you can now view the contents of the PDF file.

A toolbar will be shown allowing you to navigate, magnify, and even rotate the page by 90 degrees.

Dropbox – File Preview

The Dropbox Integration now supports File Previewing, which works exactly the same way as the File Box.

It will by turned on by default.  To adjust the options go to “Integration – Dropbox – Table File Options“.

Unchecked Table Rows

By default when you see an Infusionsoft Table it will have all the table rows checked, it means that you can immediately apply actions to all the results.  Sometimes this can be a hinderance than a benefit, depending on what you are doing.

In XtendIn, there is a new option in “Infusionsoft – Global – Data Tables” called “Check Column Status“, which by default it will be set to Infusionsoft Default.  You can change the option to the following:

  • Unchecked for All Results
  • Unchecked when viewing Results Page
  • Checked when viewing current Results Page Only

If you set it to “Unchecked”, when you see the table, XtendIn will automatically uncheck it for you.

NOTE: Depending on the option chosen there maybe a several second delay in processing the action.

All Tasks – New Features

The All Tasks section (in My Day) now has several options that allow the table display to be changed.

When the Report appears it will show the Email Address column next to the Contact Name column.  The Email Address will display the message “(Hover to show)”.  Just move the mouse pointer in the field to reveal it.

FIXES

Campaign Builder – All Features Broken

Infusionsoft v1.56 (August Release) broke all of XtendIn Campaign Builder features.  This release fixes all these problems.  A couple of features had to change due to stability reasons.  More information is provided at the top of this page.

Contact Record – Auto Tab – Tabs with & Symbol In Name

If a Tab had a “&” in its name, it would prevent the Auto Tab feature to work.  It sometimes would stop other features from working correctly as well.  This release now fixes the problem.

Contact Record – Tab Display / Button Bar – Not Saving Changes

This feature broke in the v0.1.7 release, as it prevented changes to be made.  This release now fixes the problem.

Contact Record – Tag Markers – User Permissions Issue

If the user does not have any access to the Contact Record Tags, the Tag Markers would not display.  This release fixes that problem by using the API to get the Tag information.

Contacts – Tag Markers

The Tag Markers were not appearing in the Contacts page, due to a recent change in Infusionsoft.

File Box Preview – Embedded File Contents

Minor issue when viewing the embedded file contents, the Table Rows would lose its original table row coloring.  This release now fixes the problem.

File Box Preview – Removed the message Unsupported File Type

If a File Type was not supported, XtendIn will output a message saying the File Type was not supported.  In this release the message is not shown anymore and will appear blank.

Data Tables – Enhancements

In previous releases of XtendIn, the Data Tables – Enhancements were limited to several known pages.  In this release it has been extended to cover all areas of Infusionsoft.

In addition, a fix has been made to prevent the Enhancements Bar appearing more than once in the table.

Saved Searches Options

In previous releases of XtendIn, the Saved Searches Options were limited to several known pages.  In this release it has been extended to cover all areas of Infusionsoft.

Integration – Charts – Order Chart not appearing

Due to recent Infusionsoft changes, the Chart would fail to draw any markers in the table.

Integration - Charts - Order Page Fix

Tags – Show All Number of People Button

If you turned on the option the button would appear in the Tags page, only if the Number of People column had buttons.  Although it would be misleading if you tried to turn it on and it would not appear, as if the number of people is low, Infusionsoft would show it.  This release now shows the button regardless of the Number of People column.

Tags – Bulk Action Change – Results Page Refresh Issue

If you did a Bulk Action change on the Tags, the Table would jump to the wrong Results Page.  This release fixes that problem.
