The Send Email Accessories section allows you to setup several things when an Email is sent from Google Mail.

 

Exclusions

Specify a list of the Email Addresses, or Email Domain Names you which to exclude from the accessories.  Put each entry on separate lines.

 

Send Email Actions

When a Google Email is sent you can also trigger an Infusionsoft Campaign API Goal.  It uses the email addresses listed in the To, CC, and BCC field and matches them up to the relevant Contact Records.

 

Add Email to Contact Record

These options allow you to add and configure how the Email is added to the Contact Record.

 

Add Email to Contact Record – Will add the the Email to the Contact Record Email History.

Add Contact if they do not exist – Add a new Contact Record if the Primary Email Address was not found.

Show Icon in the Email Composition – Shows the Folder with Plus Sign Icon alongside the Send Email button.

The Icon can either be Green meaning it will add the Email, or Red meaning its not.

Icon Status – You can specify the status of the Icon, either being “Add Email” (Green) or “Do Not Add Email” (Red).

Email Message Contents – Specify how you want the Email Message Contents to be added.  Either the entire Email Message, including the previous replies.  Or, just the Message you are sending.

Add Contact Note when Email has been sent – You can specify if a Contact Note is added to the Contact Record when the Email is sent.

When the option is enabled, the Type, Title, and Description options can be used.  If you tick the “Include Email Contents” the Email will be attached to the Note.

 

Send SMS Message to Contact

These options will allow you to send a SMS Message to the Contact you are replying to.  This feature works with Infusionsoft CRM Application.

Before you can use these options, make sure you have configured the “Integration – Phone – Twilio” settings first.

Twilio requires the International Dialling Code Prefix to be present for the SMS Numbers.  This can be worked out based on the Country field set in the Infusionsoft Contact Record.

The SMS feature has been designed to work for the following countries.

  • Australia
  • Canada
  • United Kingdom
  • United States

SMS Provider – Twilio is only supported SMS Provider at the moment.  You need to select this to enable the SMS Message feature to work correctly.

Send SMS to Contact – When enabled, it will activate the Send SMS feature.

Show Icon in the Email Composition – Shows the Mobile Phone Icon alongside the Send Email button.

The Icon can either be Green meaning it will send the SMS, or Red meaning its not.

Icon Status – You can specify the status of the Icon, either being “Send SMSl” (Green) or “Do Not Send SMS” (Red).

SMS Message to contain Email Message – When typing the Email Message, the SMS Message will automatically fill itself with the Email Contents.  If you turn this option off, you have to manually enter the SMS Message.

Replace Line Breaks with Spaces when including Email Message – If you do not want Line Breaks to appear in the SMS Message when including the Email Message, just enable this option.  It will make the SMS Message look like one long piece of text.

SMS Message Maximum Length – Maximum length to specify for the SMS Message.  Note, SMS Providers will charge for each additional message if they go over the normal message lengths.

Append Message if over the SMS Message Maximum Length – If the SMS Message goes over the maximum length, you can append a message.  The Appended Message will removal characters at the end of the SMS Message so it can fit the message in.

For example, if you had the message: “Hello there, we are sending you this message”, it will be truncated to show the appended message, “Hello there, we are sendi(See Email)”.

 
Infusionsoft – Contact Phone Field – You need to specify which Contact Record field generally contains the Mobile Phone Number.  In the majority of Infusionsoft setups this will usually be Phone 1 or the Phone 2 field.  You can specify either Phone Field 1, 2 , 3, 4, or 5.

Infusionsoft – Default Country – You need to specify the default Country if one is not assigned to the Contact Record.  This will allow the SMS feature to use the default Country to prefix the International Dialling Code.

Infusionsoft – Add Contact Note when SMS has been sent – You can specify if a Contact Note is added to the Contact Record when the SMS Message is sent.

When the option is enabled, the Type, Title, and Description options can be used.  If you tick the “” the response back from Twilio will be added.  It will show technical data.
